Refund Policy

The Software Engineering and Artificial Intelligence Systems journal maintains a clear and transparent refund policy to ensure that authors and stakeholders are treated fairly in cases of cancellations, payments, and other related situations. This policy outlines the conditions under which refunds may be provided:

  1. Publication Fees:

    • The journal may charge authors publication fees for processing, peer review, and production of articles. These fees are disclosed at the time of submission and prior to the acceptance of the manuscript for publication.

    • Once the manuscript has been accepted for publication, the publication fee becomes non-refundable. Authors are expected to pay the fee upon acceptance and prior to the final publication.

  2. Refunds for Withdrawn Manuscripts:

    • Before Acceptance: If a manuscript is withdrawn by the author before it is accepted for publication and the author has already paid the publication fee, the author may be eligible for a partial refund. The refund will be determined based on the administrative costs incurred up until the point of withdrawal.

    • After Acceptance but Before Publication: If a manuscript is withdrawn after acceptance but before it is published, no refund will be provided. The author may, however, request to withdraw the paper before the production process begins, in which case a partial refund may be considered depending on the stage of processing.

    • After Publication: No refunds will be issued for manuscripts that have been accepted, processed, and published (either online or in print).

  3. Refunds for Errors or Technical Issues:

    • If a publication error occurs due to the fault of the journal (such as a technical mistake or misrepresentation), the journal will provide a solution, which may include reprinting the issue, issuing a correction, or offering an alternative remedy. Refunds for technical errors will be considered on a case-by-case basis, depending on the nature and severity of the issue.

  4. Refunds for Services or Products (Other Than Articles):

    • In cases where the journal offers additional services (such as printed copies of articles or special issues) and payment has been made but the service cannot be provided (e.g., due to unforeseen circumstances or shipping issues), the journal will provide a full refund.

    • If the printed copy or other product has already been shipped or delivered, refunds will not be issued. However, the journal may consider a replacement or offer a discount on future services.

  5. Refund Process:

    • Authors or customers who believe they are eligible for a refund should submit a request in writing to the journal’s editorial office. The request should include the reason for the refund, the payment details, and any supporting documents.

    • Once the refund request is received, the journal will review the case and process the refund if applicable. Refunds will be issued through the same payment method used for the original transaction.

  6. Non-Refundable Fees:

    • Any fees associated with peer review, administrative processing, or publication services rendered prior to withdrawal or cancellation are non-refundable.

    • Authors are advised to review the payment terms and conditions before submitting their manuscripts and making any payments.

  7. Exceptional Circumstances:

    • In exceptional circumstances, such as a proven case of financial hardship or an inability to publish due to unforeseen events, the journal may consider partial or full refunds. Such cases will be reviewed on an individual basis, and any decisions will be made at the discretion of the editorial team.
